07 NCAC 04O .0104. USE OF THE ARCHIVES AND HISTORY/STATE LIBRARY FACILITIES

(a) Use of the Archives and History/State Library Building Auditorium must comply with the following:
(1) Use is restricted to official state functions during regular office hours by state agencies. All functions must be approved by the Chief, Museum of History Section, or a designated representative.
(2) From October 1 through May 30, between 9:00 a.m. and 3:00 p.m., the auditorium is reserved for school group orientation.
(3) For agencies outside the Department of Cultural Resources, the auditorium must be reserved at least seven but not more than 30 days prior to proposed date of use. Agencies will be furnished a Request and Agreement form which shall be completed and returned to the Chief, Museum of History Section, 109 E. Jones Street, Raleigh, North Carolina 27611. Forms returned later than three days before the event is scheduled will not be approved.
(4) The using agency shall designate one person who is responsible for the meeting and the use of the auditorium and equipment. This person will report to the office of the Chief, Museum of History Section, before and after the function.
(5) Smoking, eating, and drinking are prohibited in the auditorium.
(6) Agencies wishing to use the auditorium's audiovisual equipment must contact the office of the Chief, Museum of History Section, not less than three days in advance of the meeting to make necessary arrangements.
(7) Museum of History personnel are not available for routine operation of equipment, janitorial, or porter services. Each using agency will leave the auditorium in good condition so that subsequent meetings can be held without additional preparation.
(8) Exceptions to this Paragraph will be at the discretion of the Chief, Museum of History Section, with the approval of the Director, Division of Archives and History, and may be granted if the proposed use does not interfere with the intent of these Rules.
(b) Use of Conference Room (211) must comply with the following:
(1) Use is restricted to official state functions during regular office hours by state agencies. All functions must be approved by the Chief, Museum of History Section.
(2) Scheduling for agencies other than those of the Department of Cultural Resources shall be made no more than 30 days prior to proposed use. Agencies will complete a Request and Agreement form and return to the Chief, Museum of History Section, 109 E. Jones Street, Raleigh, North Carolina 27611. Forms returned later than three days before the event is scheduled will not be approved.
(3) The using agency shall designate one person who is responsible for the meeting and the use of the conference room. This person shall report to the office of the Chief, Museum of History Section, before and after the function.
(4) The using agency is responsible for physical preparation for meetings in the conference room and will leave the room in good condition so that subsequent meetings can be held without further cleaning. Museum of History personnel are not available for setting up tables and chairs, furnishing special equipment or services, providing telephone service, or cleaning the room after a meeting.
(5) Exceptions to this Paragraph will be at the discretion of the Chief, Museum of History Section, with the approval of the Director, Division of Archives and History, and may be granted if the proposed use does not interfere with the intent of these rules.
